How Card Printing, Personalisation and Mail Fulfilment Works – Step by Step
Card printing, personalisation and mail fulfilment is a structured process that takes cards from initial production through to final delivery.
At The Card Network, this includes base card printing, secure data handling, personalisation, automated matching, fulfilment and mailing.

A step-by-step guide to how cards move from base stock through to personalised mailing and dispatch as part of a complete card fulfilment and mailing service.
Step One – Order base stocks of cards
Base stocks of cards are printed first, containing all the branding and design elements that are common across the cards. Space (placeholders) need to be left in the design where individual details like names or numbers will be printed so they’re clearly visible.
The base cards are printed on PVC (Regular, Biodegradable or Recycled) or paperboard. Most card fulfilment machines don’t support Wood cards yet.
If they’re RFID cards, they need to be ordered with the correct technology chip to work with your system, whether that’s your membership system, EV charger or POS system. (We would always recommend testing some samples to be sure first).
Base letters are also printed or provided, ready for individual’s details to be added.
Step two – Prepare member or card holder data & agree how this will be received by the fulfilment provider
Talk to your fulfilment provider about the most secure way to receive your personal data, and how they want the various data fields to be laid out. This may be done via a password protected spreadsheet or database for example.
Our preferred way of receiving data is through our highly secure, data compliant API integration platform. This ensures sensitive data is protected during transmission, with encryption protocols and multi-factor authentication.
Step three – Personalisation
When data is securely received, personalisation can begin.
Cards are overprinted with individual data first from the information source supplied.
Letters are also overprinted with individual data supplied, including the card holder’s address.
Step four – Matching
Both card and letter are printed with a unique identifier that allows them to be accurately matched up with no risk of human error. This is done automatically through our match mailer, and a successful time and date stamp is recorded as an event against the record.
If the machine meets any errors as it goes along (e.g. it can’t find a letter matching a card) this will be recorded and the card rejected.
Step five – Folding and Fulfilling
The letters with cards attached are then fed through a mailing machine that folds them and inserts them into envelopes. At this point, any other merchandise, leaflets or literature can be added before the envelope is sealed.
Step six – Mailing
All envelopes are then mailed out using your preferred delivery service and a record of successful printing and despatch is provided to you as part of a complete card fulfilment and mailing service.
